Hermes Privacy Policy

This Privacy Policy explains how Hermes, an AI assistant operated through Websited Digital (“Hermes”, “we”, “us”), handles information when you use the Hermes service and connect it to QuickBooks Online.

Information we process

Account and contact information you provide.
QuickBooks data you authorise Hermes to access, such as company details, customers, products and services, invoices, and related accounting records.
Conversation content, instructions, and files you submit to Hermes.
Technical and security information needed to operate, protect, and troubleshoot the service.

How we use information

We use information only to provide requested Hermes features, authenticate your QuickBooks connection, retrieve or create accounting records at your direction, maintain security, diagnose errors, and meet legal obligations. Hermes does not sell personal information.

QuickBooks access and control

Hermes accesses QuickBooks Online only after an authorised user grants permission through Intuit. Access is limited to the permissions approved by that user. You can disconnect Hermes from QuickBooks at any time through your Intuit account or by contacting us. Disconnecting stops future access; records already created in QuickBooks remain subject to your QuickBooks settings.

Service providers and AI processing

We may use hosting, database, security, communications, and artificial-intelligence service providers to operate Hermes. Those providers process information on our behalf under their applicable contractual and security terms. Only information reasonably needed to perform a requested task is sent to a provider.

Storage, retention, and security

We use reasonable administrative, technical, and organisational safeguards designed to protect information. OAuth credentials and access tokens are treated as confidential. We retain information only for as long as needed to provide the service, maintain security and records, or comply with law, then delete or de-identify it where reasonably possible.

Sharing and disclosure

We may share information with service providers that help us operate Hermes, with Intuit to enable the QuickBooks integration, when you direct us to do so, or when required by law. We do not share information for unrelated advertising.

Your choices and rights

You may request access, correction, or deletion of personal information we control, subject to legal and operational requirements. You may also revoke the QuickBooks connection at any time.

Changes

We may update this policy when Hermes or applicable requirements change. The effective date above will be updated when material changes are published.
